What data is used and why?

Data comes mainly from you: through forms, email, conversations and what you share in Everfit. The application includes your name, email, goal category, budget answer and confirmation that you have read this information. The contact form includes your name, email, message and the same confirmation. This data is used to respond and discuss working together.
Client administration covers contact details, agreements, bookings, communication and invoicing details. Coaching may involve training logs, nutrition information, weight and measurements, photos, technique videos and relevant information about health, injuries or illnesses. We only ask for what is needed for your coaching.
The legal basis for necessary contract administration and coaching, and steps you request before entering into a contract, is performance of a contract. Other enquiries are handled on the basis of our legitimate interest in responding to them. Bookkeeping is based on a legal obligation. We need your contact details to reply; necessary client and invoicing details are needed to provide the service. Artur assesses applications personally; acceptance decisions are not automated.

Health data in coaching

When coaching requires health data, we also obtain your explicit consent separately. This includes logs, photos or measurements that reveal your state of health. Acknowledging this privacy information does not constitute consent to the processing of health data.
To plan and adapt your individual coaching, Archi Performance needs to process relevant and necessary health data with your explicit consent. You decide whether to give consent and can withdraw it at any time by email. Without consent, coaching cannot begin or continue. Withdrawal does not affect earlier lawful processing.
Do not send diagnoses, medical records or other sensitive health data through the website forms.

Where is your data processed?

Everfit is used for coaching data, follow-up and client communication. Google Drive is used for copies of forms from Everfit, and Google Workspace for business communication and documents. OP Kevytyrittäjä is used for invoicing and bookkeeping. Formspree delivers website form submissions to Archi Performance. The website is hosted through Lovable and its infrastructure providers.
Providers process data on our behalf where they act as processors. Some also process data for their own purposes under their terms; Everfit, for example, distinguishes between its roles for coaching data and account data.
Data may be processed outside the EU/EEA. Everfit and Formspree describe processing in the United States and the use of EU Standard Contractual Clauses. Google, OP and Lovable may also use providers outside the EU/EEA. Applicable safeguards include, for example, EU adequacy decisions or Standard Contractual Clauses. Contact us for information about current recipients and transfer safeguards.

How long is your data kept?

Coaching and health data in Everfit and our copies in Drive are deleted when coaching and the agreed final follow-up are complete. Enquiries and applications that do not lead to working together are deleted when the matter has been dealt with. Deletion also covers our own email and file copies.
Invoices, receipts and other accounting records covered by the six-year rule are kept for at least six years from the end of the year in which the financial year ended. Financial statements, accounting books and records covered by the ten-year rule are kept for at least ten years after the end of the financial year. These periods do not apply generally to health data or training photos.
If particular data is needed for a specific legal claim, that data may be retained until the matter is resolved and the need has ended. Providers' technical backups are handled under their deletion procedures.

Client photos, testimonials and AI

If you give separate, voluntary consent, client photos, videos or testimonials may be used in marketing. The consent specifies the material, any name to be used, purpose, channels and time period. Declining does not affect your coaching. Sharing privately with your coach does not grant permission to publish.
You can withdraw your consent by email. We will then stop using the material and remove publications under our control; we cannot guarantee deletion of copies or posts shared by others. Archi Performance does not use client data in AI tools.

Your rights

Email artur@archiperformance.com with questions or to request access, correction, deletion or restriction of processing. You can object to processing based on legitimate interests. Where the conditions are met, you can have data you have provided transferred in a machine-readable format; this applies to automated processing based on consent or a contract.
We normally respond within one month. Your rights apply subject to the conditions in data protection law; for example, accounting records required by law may need to be kept despite a deletion request. You have the right to lodge a complaint with the Office of the Data Protection Ombudsman in Finland.

Website technology and cookies

Operating the website and preventing abuse may require processing your IP address, the page requested and technical information, as well as necessary cookies. The purpose is to deliver and protect the website; this processing of personal data is based on our legitimate interest in doing so. Fonts are loaded from Google Fonts for the site's appearance. Google receives information including your IP address and browser details.
With your consent, Lovable visitor analytics is used to understand how the website is used. The statistics include web addresses visited, the referring page, time, browser and language information, and approximate country. A random session identifier is stored in the session-id cookie for 30 minutes and renewed when you are active. Lovable manages retention of the statistics under its service terms; you can contact us for more information.
Analytics starts only when you choose to allow it. You can decline or withdraw your consent through Analytics settings at the bottom of the page or below. This stops further collection and deletes the session cookie. Your choice is stored locally in your browser for six months so that the website remembers it. This storage is necessary to respect your choice. Withdrawal does not affect earlier lawful processing.
